Executive Assistant

Eligibility Requirements:

  • Be between 18 and 30 years of age at the start of the employment period;

  • Be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act, or international student* for the duration of the program;

  • Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations; and

  • Will not be holding another Canada Summer Jobs position at the same time.

Roles & Responsibilities:

  • Acting as a point of contact for the Co-Executive Director, staff, volunteers, and external partners

  • Answering general email inquiries, and forward to applicable staff when necessary

  • Scheduling meetings, both one-on-one and involving multiple people both within and outside of the organization. Consider multiple staff calendars when scheduling meetings. 

  • Keeping the Co-Executive Director schedules up to date by adding events, meetings, and other engagements to their Google Calendar. 

  • Taking minutes during meetings in a clear and concise manner, and maintain digital organization of meeting minutes in the Organization’s Shared Google Drive

  • Spearheading meetings on behalf of the Co-Executive Director

  • Sending Co-Executive Director weekly email updates if and when they are away

  • Organizing Shared Drive of the Organization, keeping files sorted in accordance with standard operating procedures

  • Writing correspondence on behalf of the Co-Executive Director

  • Running errands on behalf of the Co-Executive Director or other staff, such as mail or minor purchases.  

  • Taking dictation on behalf of the Co-Executive Director

  • Summarizing notes on behalf of the Co-Executive Director

  • Making phone calls on behalf of the Co-Executive Director

Other 

  • Understanding of the organization, its purpose, history, policies and programs

  • Represent the organization in a professional and congenial manner in videos and in meetings

  • Delegation or sharing of duties with others as necessary 

  • Other duties as required or assigned

Qualifications:

  • Exceptional written and verbal language skills

  • Previous administrative experience

Assets:

  • Experience working in a similar role or organization

  • Bilingualism in English and French
